A Dutch media company that provides aggregation and tech services for content creators and distributes their production with global platforms. They were looking for an order management system.
Project Description
The company needed a new system for order management of subtitles to the videos made by translators.
The software has to be a web application where a client (a person, or a company) can order subtitles creation for their media files.
Naturally, the platform should include all the functions to provide order management workflow integrated with the external accounting system.
The platform should serve all business operations and processes of order management and execution.
For this to happen, four types of users have to be realized within the system: translator, sales representative, admin, and admin with an extended set of functions (super-admin).
A salesperson is a user who can create draft orders to check quotes and delete requests.
The translator can get notifications about orders, have access to the dashboard, view requested orders, apply for or decline orders, submit returns, upload subtitle files, and post comments on the orders.
Administrators and super admins should have access to some other functions essential to running the operation. Admins can also perform as translators at his/her own translator’s rate.
Challenges
Elinext was challenged with the following tasks:
- Building a web-based application that connects video creators with subtitle makers
- Ensuring the UX is user-friendly and the UI is responsive
- Delivering the system that enables customized order management workflow which is integrated with the external accounting system
Process
The entire process of platform development consisted of 3 stages: 1,000 hours for the first one, and 400 plus 500 hours for Stages Two and Three respectively.
Business Analyst was added for the first stage to ensure the documentation would be well-put and clear. That documentation helped us to break down feature development into small tasks and prevented misunderstanding. The end product is bug-free due to it.
Stages Two and Three required more communication with the client, so the Elinext team conducted a bi-weekly to demonstrate the result and get feedback, as well as resolve all the issues that arose.
Solution
There are ten modules realized within the application.
Module 1: Dashboard
One of the biggest and most important modules of the web app. It includes all the stats on orders that are outdated dues this week returned, pending review orders, etc.
Module 2: Order
This model allows CRUD (Create, Read, Update, and Delete) operations with orders, as well as cloning them, leaving public and private comments, filtering them, and performing bulk actions (i.e. batch editing).
Module 3: Translators
With the help of this module. One could see the list of translators, filter it, and import and export translators. One could edit the personal data of translators, and send links to invite translators to create an account within the platform.
Module 4: Users
With the help of this module, users are created, updated, and deleted. One could assign a user’s role here in this module as well, and see the list and filter users accordingly with the rights one possesses.
Module 5: Clients
Same functionality as for users, but for clients, those who order subtitles.
Module 6: Creditors + Debitors
As there are financial operations involved, this module was needed for realization. CRUD operations for creditors and debtors are available in this module.
Module 7: Rate Card
CRUD operations for rate cards and their lists are available in this module.
Module 8: Translator’s Rates
A list of translator’s rates is available here for import and export.
Module 9: Account Settings
One could set account settings here, change passwords, turn on/off notifications, and contact admins.
Module 10: System Settings
This module is only available to the specific type of user: Super Admin. Fine-tuning the app is available here.
Results
As a result of our cooperation with Elinext, our Dutch client received a web platform that unites content creators and subtitles makers.
We continue working on this project, but the version that we currently have at the moment already serves the initial purpose.
Shortly the project is expected to be enhanced with the following systems and modules:
- Integrate account system
- Report module
- Payment module
- Expanded user roles, including Project Managers.
