About Client

Our client is a well-established provider of portable buildings, trailers, sheds, and truck accessories across the United States. Despite a strong market presence, their internal Rent-to-Own (RTO) processes remained highly manual and paper-intensive.

Before ESG software automation, for every RTO trnsaction, store personnel had to print and complete four critical documents by hand:

  • Application – submitted by the customer, later scanned and emailed to an RTO agent for approval.
  • Contract – state-specific legal agreement, requiring multiple handwritten entries.
  • Delivery Request Form – containing delivery details, terms, and conditions to protect Leonard during installation.
  • Customer Acceptance Form – signed after installation, capturing additional fees (mileage, blocking, labor) and confirming contract initiation.

Once the information was collected, ESG software automation allowed scanning and sending via email for manual review and approval, which resulted in delays, inefficiencies, and a higher risk of data entry errors. They wanted to improve these processes, receive full automated software testing services. They were interested in our custom software development services.

Business Challenge

The company needed a digital solution that would replace all manual software testing services and paper-based components of the RTO workflow. The key goals were to provide a more interactive and user-friendly customer experience, significantly reduce the time required for reviewing and approving applications, and ensure higher accuracy in the data collected. At the same time, our customer wanted to create ESG operation automation which would lead to a better communication channel with customers, eliminate unnecessary paper usage, and streamline storage and retrieval of applications and contracts for its Collections Specialists.

Major Challenges:

  1. Improve the customer experience by providing a more interactive experience with the help of ESG software automation
  2. Decrease the time involved for a customer application to be reviewed/approved. 
  3. Improve the quality of the data that ESG software automation allows to the customer.
  4. Provide a better forum for communicating with the customer. 
  5. Eliminate excess paper usage with ESG software automation
  6. Enhance the storage and retrieval processes of applications and contracts for the client.

Process

Elinext collaborated with our client to design and implement a fully digital Rent-to-Own (RTO) application and contract management system.

Discovery & Analysis

Solution Design

We created a blueprint for digitizing all four RTO documents (Application, Contract, Delivery Request Form, Customer Acceptance Form) and integrating them into a single, cohesive system.

Our team built an interactive web-based solution that allows customers and store personnel to complete forms electronically. Implemented approval workflows to streamline communication between store personnel, customers, and RTO agents.

Final Product Overview

The delivered digital solution fully transformed Leonard’s Rent-to-Own process (ESG automation) by replacing fragmented, paper-heavy routines with a single, coherent workspace that connects orders, documents, approvals, deliveries, and post-installation acceptance. At the core of ESG automation sits the Order Management module. Store personnel can create a new order, review existing ones, and update or cancel them as the situation evolves; every action is preserved in an audit trail that records who made the change, when it happened, and what exactly was altered. Each order encapsulates all essential information in one place: applicant details, order metadata, and attachments such as scans or supporting files. From the order screen, staff can immediately open the state-specific contract, the Delivery Request Form, and the Customer Acceptance Form, ensuring the right documents are always tied to the right transaction and are accessible without searching through emails or shared drives.

ESG automation leads to Operational visibility which is driven by a live order board that shows transactions by type and by status throughout the lifecycle: from pre-approved and followed-up to pending, in progress, pending delivery, delivered but not yet signed, completed, or cancelled. Users can narrow down to the exact subset they need using flexible filters and grouping, for example, isolating only “pending delivery” orders for a given location or comparing in-progress transactions across teams. 

A fast search in ESG software automation helps locate a specific order by name, identifier, or other attributes, while a configurable grid lets each user choose which columns are visible, so day-to-day work surfaces precisely the fields that matter for their role.

Reporting of ESG automation is centered around a focused tool for delivery oversight: the Driver Delivery Report

Supervisors and coordinators can generate a clear view of deliveries for a specific date or range and can also break the information down by driver. This makes it straightforward to understand upcoming commitments, check what was completed, and reconcile order and delivery activity without stitching together ad-hoc spreadsheets or email threads. Because the report draws directly from the same order data and statuses, it stays consistent with the operational picture the stores see, avoiding version drift and duplication.

Access and control are governed through a simple, role-based User Management model with two operating modes. In Assistant mode, the interface is streamlined for store personnel: they can work through applications, update order details, attach documents, and view the associated contract and forms, all within the guardrails appropriate to their responsibilities. Administrator mode unlocks broader control and oversight, enabling advanced operations across the portfolio and ensuring that sensitive actions are performed only by users with the right level of authority. This clear separation of capabilities keeps the experience intuitive for front-line users while preserving the governance and traceability the business requires.
