Elinext is a global company with over 700 specialists worldwide that delivers custom software development services. The company delivers innovative technology solutions, including AI-powered lead management software, to help businesses streamline their operations, improve efficiency, and achieve growth.

This project was an internal initiative aimed at enhancing the productivity of Elinext’s own sales and lead generation department by incorporating AI-powered lead management.

Business Challenge

The sales team at Elinext relies on Pipedrive CRM to manage and track leads. Every day, new companies are added to the system by the sales department. We thought it’d be nice to start using AI for lead management.

The challenge was to quickly and accurately determine whether these new companies matched Elinext’s Ideal Customer Profile (ICP). Before automation, this process was performed manually, leading to:

  • Time-consuming checks and corrections.
  • Inconsistent data quality.
  • Risk of misclassifying potential leads and overlooking valuable opportunities.

The business objective was clear: reduce manual effort, improve classification accuracy, and ensure the team focuses on truly relevant leads. That could be done with the help of AI-powered lead management software.

The n8n platform, a Google service account for working with Google Sheets, the OpenAI API for intelligent data analysis, the Perplexity API for real-time web search, and integration with Telegram for sending notifications.

To address this challenge, Elinext, an artificial intelligence development company,  leveraged its internal expertise and resources to design and implement a fully automated solution.

The users of the system are the management team of Elinext’s lead generation department.

The developer set up an automated workflow on the n8n platform that collected data on newly added companies from Pipedrive each day, transferred it to Google Sheets, and then analyzed it using both the OpenAI API and the Perplexity API for real-time web search. The results of the analysis were compiled and sent to Telegram at the end of each day, significantly streamlining and accelerating the classification process.

Testing was conducted directly within the n8n platform, and logging was used to track results and make necessary adjustments. Additionally, the specialist used the developer console in Google Chrome to monitor and debug processes.

The delivered solution is an automated AI-driven classification system that works as follows:

  • Daily Data Capture: Fetches new company records from Pipedrive.
  • Data Enrichment: Gathers additional company information from the internet using Perplexity.
  • AI Validation: Evaluates each company against Elinext’s Ideal Customer Profile using OpenAI.
  • Automated Reporting: Creates a company dossier and sends a clear verdict with justification to the sales team via Telegram.

The system works with data on new companies that comes from Pipedrive and analyzes it to determine whether they meet our ICP: AI-powered lead management in its finest. The volume of data is not very large, as it is a daily update of a certain number of records.

The project (AI-powered lead management software development) took approximately three days to complete, and the work was carried out gradually, in stages, over those three days. It was an internal project with the solution developed in-house, i.e., without involving third-party resources or teams.
